## Getting Started

### Account Setup

#### Creating an Account

1. Go to [qubittask.com](https://qubittask.com)
2. Click **Get Started Free** or **Sign Up**
3. Enter your details:
   - Full name
   - Email address
   - Password (min. 8 characters)
4. Click **Create Account**
5. Verify your email (check spam folder if needed)

#### Logging In

1. Go to [qubittask.com/login](https://qubittask.com/login)
2. Enter your email and password
3. Click **Sign In**

**Tip**: Enable "Remember me" to stay logged in for 30 days.

#### Resetting Your Password

1. Go to [qubittask.com/login](https://qubittask.com/login)
2. Click **Forgot Password?**
3. Enter your email address
4. Check your email for reset link
5. Click the link and set a new password

### Creating Your Workspace

When you first sign up, you'll be prompted to create a workspace.

#### What is a Workspace?

A **workspace** is your team's container for projects, tasks, and members. Think of it as your company or team's home base.

**Examples**:
- "Acme Marketing Team"
- "Freelance Design Studio"
- "Johnson Construction Co."

#### Creating Your First Workspace

1. After signup, enter your **Workspace Name**
2. Optionally upload a logo (recommended: 200x200px PNG)
3. Click **Create Workspace**

#### Switching Between Workspaces

If you're a member of multiple workspaces:
1. Click your workspace name in the top-left corner
2. Select a different workspace from the dropdown

### Understanding Roles

QubitTask has **three user roles**:

| Role | Can Do | Use Case |
|------|--------|----------|
| **Admin** | Full access: manage members, billing, projects, tasks, settings | Workspace owners, managers |
| **Member** | Create projects, manage tasks, view all projects | Team members, employees |
| **Client** | View only assigned tasks, comment | External clients, stakeholders |

#### Key Differences

**Admins** can:
- Invite and remove users
- Change user roles
- Manage billing and subscriptions
- Delete projects
- Access all workspace settings

**Members** can:
- Create and manage projects (but can't delete them)
- Create, edit, and delete tasks
- Assign tasks to anyone
- Comment and upload files
- View all projects (unless marked private)

**Clients** can:
- Only view tasks they're assigned to
- Comment on tasks
- Upload attachments
- Receive notifications
- **Cannot** create tasks or view other tasks

**Note**: Client users don't count toward your billing.

### Navigation Overview

#### Main Dashboard

After logging in, you'll see:

**Sidebar (left)**:
- **Home**: Overview dashboard with recent activity
- **Inbox**: Your notifications and mentions
- **My Tasks**: All tasks assigned to you
- **Projects**: List of all projects
- **Members**: Team directory
- **Settings**: Workspace configuration
- **Qubit AI**: AI assistant panel

**Header (top)**:
- Quick task creation button
- Search bar
- Notifications bell
- User profile menu

**Main Area (center)**:
- Context-specific content based on your current page

## Projects & Tasks

### Creating Projects

#### What is a Project?

A **project** groups related tasks together. Examples:
- "Website Redesign"
- "Q2 Marketing Campaign"  
- "Client Onboarding"

#### Creating a Project

1. Click **Projects** in the sidebar
2. Click **+ New Project**
3. Fill in the details:
   - **Project Name** (required)
   - **Description** (optional, supports rich text)
   - **Project Lead** (optional, defaults to you)
   - **Color** (optional, for visual organization)
4. Click **Create Project**

#### Project Settings

Click the **⚙️ icon** on any project card to:
- Edit name, description, or lead
- Change project color
- Add/remove project members
- Archive the project
- Delete the project (Admin only)

#### Free vs Pro Project Limits

- **Free Plan**: Up to 7 projects
- **Pro Plan**: Unlimited projects

### Managing Tasks

#### Creating a Task

**Method 1: From Project Board**
1. Open a project
2. Click **+ Add Task** in any status column
3. Enter task title and press Enter

**Method 2: Quick Create (Header)**
1. Click the **+ button** in the top navigation
2. Fill in task details
3. Click **Create Task**

**Method 3: AI Assistant**
- Open Qubit AI and say: _"Create a task called 'Review homepage design' in the Website project"_

#### Task Fields

Each task can have:

| Field | Description |
|-------|-------------|
| **Title** | Task name (required) |
| **Description** | Rich text description with formatting, images, links |
| **Status** | Backlog, To Do, In Progress, In Review, Done, Cancelled |
| **Priority** | None, Low, Medium, High, Urgent |
| **Assignee** | Primary person responsible |
| **Multiple Assignees** | Additional team members |
| **Due Date** | Deadline for completion |
| **Labels** | Color-coded tags for categorization |
| **Subtasks** | Checklist of smaller items |
| **Attachments** | Files, images, documents |
| **Project** | Which project this task belongs to |

#### Editing a Task

**Quick Edit (inline)**:
- Click directly on any field in Board or List view
- Make your change and press Enter

**Full Edit (modal)**:
- Click the task title to open detail view
- Click **Edit Task** button
- Modify any fields
- Click **Save Changes**

#### Deleting a Task

1. Open the task detail view
2. Click the **⋮ menu** (three dots)
3. Select **Delete Task**
4. Confirm deletion

**Note**: Deleted tasks cannot be recovered. Consider changing status to "Cancelled" instead.

### Task Views

QubitTask offers **three views** for managing tasks:

#### 1. Board View (Kanban)

Visual columns representing task status:

**How to use**:
- Drag tasks between columns to change status
- Click **+ Add Task** at the bottom of any column
- Collapse columns you don't need

**Best for**: Visual workflow, sprint planning, team collaboration

#### 2. List View

Table-style view with sortable columns:
- Status
- Title
- Assignee
- Priority
- Due Date

**How to use**:
- Click column headers to sort
- Click any row to open task details
- Use bulk actions (select multiple tasks)

**Best for**: Quick editing, bulk updates, detailed task info at a glance

#### 3. Calendar View

Monthly calendar showing tasks by due date.

**How to use**:
- Click a task to view details
- Drag tasks to different dates to reschedule
- Click any date to create a task due that day

**Best for**: Deadline management, capacity planning, date-based workflows

#### Switching Views

Click the view icons in the project header:
- 📋 Board
- 📄 List  
- 📅 Calendar

Your preference is saved per-project.

### Subtasks & Checklists

Subtasks let you break down complex tasks into smaller steps.

#### Creating Subtasks

1. Open a task detail view
2. Scroll to the **Subtasks** section
3. Click **+ Add Subtask**
4. Enter subtask title and press Enter
5. Repeat for additional subtasks

#### Managing Subtasks

- **Mark complete**: Check the checkbox next to the subtask
- **Edit**: Click the subtask text to edit inline
- **Delete**: Click the **✕** icon
- **Reorder**: Drag subtasks up or down

#### Subtask Progress

The parent task shows completion progress:
- "2 of 5 subtasks complete"
- Progress bar visual indicator

### Task Assignments

#### Assigning a Task

**Primary Assignee**:
1. Open task details
2. Click the **Assignee** field
3. Select a user from the dropdown

**Multiple Assignees**:
1. Open task details
2. Scroll to **Additional Assignees**
3. Click **+ Add Assignee**
4. Select users (can select multiple)

#### What Assignees See

- Task appears in their **My Tasks** page
- Receive notifications for comments, status changes
- Task shows in their personal calendar

#### Unassigning a Task

1. Open task details
2. Click the **X** next to the assignee's name
3. Task becomes unassigned

#### Assigning to Clients

Clients can only see tasks assigned to them. Use this to:
- Share specific deliverables
- Request feedback
- Show project progress

### Labels & Priorities

#### Labels

**Labels** are color-coded tags for organizing tasks.

**Creating a Label**:
1. Open any task
2. Click **Add Label**
3. Choose existing label or create new
4. Enter label name and pick a color
5. Click **Create**

**Common label examples**:
- 🔴 Bug
- 🟢 Feature
- 🟡 Design
- 🔵 Backend
- 🟣 Frontend
- ⚫ Blocked

**Using Labels**:
- Tasks can have multiple labels
- Filter tasks by label in Board/List views
- Search tasks by label

#### Priorities

**Priority levels**:
- **Urgent** (🔴): Needs immediate attention
- **High** (🟠): Important, tackle soon
- **Medium** (🟡): Normal priority
- **Low** (🟢): Nice to have
- **None** (⚪): Not prioritized yet

**Setting Priority**:
1. Open task details
2. Click the **Priority** dropdown
3. Select priority level

**Priority in Views**:
- Board/List: Shows colored priority badge
- Can sort by priority in List view
- Filter by priority

## Collaboration

### Inviting Team Members

#### How to Invite Users

1. Go to **Settings > Members**
2. Click **+ Invite Member**
3. Enter their email address
4. Select a role (Admin, Member, or Client)
5. Click **Send Invite**

The user receives an email with a signup link.

#### Bulk Invites

Invite multiple users at once:
1. Click **+ Invite Member**
2. Enter multiple emails separated by commas:
   ```
   john@example.com, jane@example.com, bob@example.com
   ```
3. Select role
4. Click **Send Invites**

#### Pending Invites

View pending invites in **Settings > Members**. You can:
- **Resend invite**: If they didn't receive it
- **Cancel invite**: Revoke the invitation link

#### Free vs Pro User Limits

- **Free Plan**: Up to 5 users (unlimited clients)
- **Pro Plan**: Unlimited users

**Note**: Client users don't count toward your limit.

### Comments & @Mentions

#### Adding Comments

1. Open any task
2. Scroll to the **Comments** section
3. Type your comment in the text box
4. Click **Post Comment** or press Ctrl+Enter

#### @Mentioning Users

Notify specific users in a comment:
1. Type `@` followed by their name
2. Select the user from the autocomplete dropdown
3. They receive an instant notification

**Example**:
```
@john can you review this by Friday? @sarah for approval after.
```

#### Editing Comments

1. Hover over your comment
2. Click the **⋮ menu**
3. Select **Edit**
4. Make changes and click **Save**

#### Deleting Comments

1. Hover over your comment
2. Click the **⋮ menu**
3. Select **Delete**
4. Confirm deletion

**Note**: Only the comment author or workspace Admins can delete comments.

#### Comment Notifications

You receive notifications when:
- Someone @mentions you
- Someone comments on your task
- Someone replies to your comment

### File Attachments

#### Uploading Files

**Method 1: Drag & Drop**
1. Open a task
2. Drag files from your computer into the task detail view
3. Files upload automatically

**Method 2: File Picker**
1. Open a task
2. Scroll to **Attachments**
3. Click **+ Upload Files**
4. Select files from your computer
5. Click **Open**

#### Supported File Types

- **Images**: JPG, PNG, GIF, SVG (max 10MB each)
- **Documents**: PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX (max 25MB each)
- **Archives**: ZIP, RAR (max 50MB each)
- **Code**: Any text-based file (max 5MB)

#### Viewing Attachments

- **Images**: Click to view full-size preview
- **Documents**: Click to download
- **Multiple files**: Download all as ZIP

#### Deleting Attachments

1. Hover over the attachment
2. Click the **✕ icon**
3. Confirm deletion

**Note**: Deleted files cannot be recovered.

#### Attachment Limits

- **Free Plan**: Up to 1GB per workspace
- **Pro Plan**: Up to 100GB per workspace

### Notifications

#### Types of Notifications

You receive notifications for:
- Task assignments
- Task status changes
- Comments and @mentions
- Due date reminders (24 hours before)
- Project updates

#### Viewing Notifications

**In-App**:
1. Click the **🔔 bell icon** in the header
2. See your unread notifications
3. Click any notification to jump to the related task

**Email**:
- Notifications are also sent to your email
- Configurable in **Settings > Notifications**

#### Notification Settings

Customize what you receive:
1. Go to **Settings > Notifications**
2. Toggle notification types:
   - In-app notifications
   - Email notifications
   - Task assignments
   - Comments
   - Status changes
   - Due date reminders
3. Click **Save Preferences**

#### Muting Notifications

**Mute a specific task**:
1. Open the task
2. Click **⋮ menu** → **Mute Notifications**
3. You won't receive updates for this task

**Mute all notifications** (Do Not Disturb):
1. Go to **Settings > Notifications**
2. Toggle **Mute All Notifications**
3. Re-enable when ready

### Activity Logs

#### What are Activity Logs?

Activity logs track all changes to tasks:
- Task created
- Status changed
- Assignee changed
- Priority changed
- Due date changed
- Completed
- Deleted

#### Viewing Activity

**Task-Level Activity**:
1. Open any task
2. Scroll to the **Activity** tab
3. See chronological log of all changes

**Workspace-Level Activity**:
1. Go to **Home** dashboard
2. See **Recent Activity** section
3. Shows latest 5 activities across all tasks

#### Activity Details

Each log shows:
- 👤 **Who**: User who made the change
- 🕐 **When**: Timestamp (relative time, e.g., "2 hours ago")
- 📝 **What**: The change made
- 🔗 **Link**: Click to view the task

**Example**:

John Smith changed status from "To Do" to "In Progress"
2 hours ago · Website Redesign > Homepage Design
```

## AI Assistant

### Using Qubit AI

#### What is Qubit AI?

Qubit AI is your intelligent assistant that can:
- Create, update, and search tasks
- List tasks by status, assignee, or project
- Summarize projects and workload
- Answer questions about your workspace
- Provide insights and suggestions

#### Opening Qubit AI

**Method 1**: Click the **Qubit AI** button in the sidebar  
**Method 2**: Press `Ctrl+K` (Windows/Linux) or `Cmd+K` (Mac)

#### Starting a Conversation

Type your request in natural language. Examples:
- _"Create a task called 'Review Q2 budget' in the Finance project"_
- _"List all high-priority tasks assigned to Sarah"_
- _"What tasks are due this week?"_
- _"Show me tasks in the Marketing project that are in progress"_

#### Conversation History

Your AI conversations are saved:
- Conversations persist across browser sessions
- Stored on the server (not localStorage)
- Access past conversations anytime
- Context is preserved across messages

**Clearing History**:
- Click the **🗑️ Clear Chat** button
- Starts a fresh conversation

**Create a Task**:

### AI Usage Limits

#### Daily Quota

- **Free Plan**: 25 messages per day (per workspace)
- **Pro Plan**: 200 messages per day (per workspace)

#### How Quota Works

- Quota resets at midnight UTC
- Quota is shared across the workspace (not per-user)
- Only **your messages** count toward the quota (not AI responses)
- Confirmation dialogs don't count

#### Checking Remaining Quota

View your remaining quota at the bottom of the Qubit AI panel:

#### What Happens When You Hit the Limit?

- AI becomes unavailable for the rest of the day
- Message: _"Daily message limit reached. Resets at midnight UTC."_
- **Pro users**: Upgrade message link if on Free plan

#### Tips for Efficient AI Use

1. **Combine requests**: Instead of 3 separate messages, ask for everything at once:
   ```
   ❌ What tasks are in the Marketing project?
   ❌ Which ones are high priority?
   ❌ Who are they assigned to?
   
   ✅ Show me high-priority tasks in the Marketing project with assignees
   ```

2. **Use manual search for simple queries**: If you just need to see a task, use the search bar instead of AI

3. **Bookmark frequent reports**: If you ask the same question daily, consider using filters and bookmarking the URL

## Advanced Features

### Client Portal

#### What is the Client Portal?

The **Client Portal** is a restricted view for external clients. Clients can:
- ✅ View tasks assigned to them
- ✅ Comment on tasks
- ✅ Upload files
- ✅ Receive notifications
- ❌ Cannot see other tasks
- ❌ Cannot create tasks
- ❌ Cannot see workspace members
- ❌ Cannot access projects

#### Inviting Clients

1. Go to **Settings > Members**
2. Click **+ Invite Member**
3. Enter client's email
4. Select **Role: Client**
5. Click **Send Invite**

#### What Clients See

When a client logs in:
- Dashboard shows only their assigned tasks
- No sidebar access to Projects or Members
- Simple interface focused on their work
- Email notifications for updates

#### Assigning Tasks to Clients

1. Create or open a task
2. Set **Assignee** to the client user
3. Client receives email notification
4. Task appears in their dashboard

**Best Practices**:
- Use descriptive task titles (clients can't see project context)
- Add clear instructions in task description
- Attach any relevant files
- Set realistic due dates

#### Client Billing

**Clients do NOT count toward your user limit.**

You can invite unlimited clients on both Free and Pro plans.

### Task Filters & Search

#### Global Search

**Location**: Search bar in the top header

**Search by**:
- Task title
- Task description
- Comments
- Assignee name
- Project name

**Usage**:
1. Click the search bar or press `/`
2. Type your query
3. See instant results
4. Click any result to open the task

#### Advanced Filters

**In Board/List View**:
1. Click the **Filter** button
2. Select criteria:
   - Status
   - Priority
   - Assignee
   - Labels
   - Due date range
3. Click **Apply Filters**

#### Filter Combinations

Combine multiple filters:

Status: In Progress
Priority: High
Assignee: Sarah
Due Date: Next 7 days
```

Results show only tasks matching ALL criteria.

#### Saving Filters

1. Apply your filters
2. Click **Save Filter**
3. Name your filter (e.g., "Sarah's High Priority")
4. Access saved filters from the dropdown

#### Clearing Filters

Click **Clear All Filters** to reset to default view.

### Bulk Operations

Perform actions on multiple tasks at once.

#### Selecting Multiple Tasks

**In List View**:
1. Check the checkbox next to each task
2. Or check the header checkbox to select all visible tasks

**In Board View**:
1. Hold `Ctrl` (Windows/Linux) or `Cmd` (Mac)
2. Click each task card

#### Bulk Actions

Once tasks are selected:
- **Change Status**: Move all to a different status
- **Change Priority**: Set priority for all
- **Change Assignee**: Reassign all to someone else
- **Add Label**: Apply a label to all
- **Delete**: Delete all selected tasks (requires confirmation)

**Example Use Cases**:
- Move all "To Do" tasks to "In Progress" at start of sprint
- Mark all low-priority bugs as "Backlog"
- Reassign all tasks from departed team member
- Apply "Sprint 12" label to a batch of tasks

### Workspace Settings

Access: **Settings > General**

#### Workspace Profile

- **Workspace Name**: Your team/company name
- **Logo**: Upload a logo (200x200px recommended)
- **Description**: Optional workspace description

#### Workspace URL

Your workspace is accessible at:

You can create a **custom slug** (Pro only):

#### Danger Zone

**Delete Workspace**:
- Permanently deletes all projects, tasks, and data
- Cannot be undone
- Requires confirmation

#### Changing User Roles

1. Go to **Settings > Members**
2. Find the user
3. Click their current role dropdown
4. Select new role
5. Changes take effect immediately

#### Removing Users

1. Go to **Settings > Members**
2. Click the **⋮ menu** next to the user
3. Select **Remove from Workspace**
4. Confirm removal

**What happens to their tasks?**
- Tasks remain in the system
- Tasks are unassigned from the removed user
- Comments and activity history remain
- Files they uploaded remain

## Troubleshooting

#### I can't log in

**Solutions**:
1. Verify your email and password are correct

#### Tasks aren't loading

**Solutions**:
1. Refresh the page (Ctrl+R / Cmd+R)

#### File upload fails

**Possible causes**:
- File size exceeds limit
- Unsupported file type
- Storage quota exceeded (Free: 1GB, Pro: 100GB)
- Slow internet connection

**Solutions**:
1. Check file size against limits
2. Try compressing images or documents
3. Check your workspace storage: **Settings > Billing > Usage**
4. Try uploading a smaller file first
5. Wait and retry (connection issue)

#### Notifications not working

**Solutions**:
1. Check **Settings > Notifications** — ensure they're enabled
2. Check browser notification permissions:
   - Chrome: Settings > Privacy > Site Settings > Notifications
   - Firefox: Preferences > Privacy > Permissions > Notifications
3. Check email spam folder
4. Verify your email is confirmed
5. Try logging out and back in

#### Qubit AI not responding

**Possible causes**:
- Daily quota exceeded
- AI service maintenance
- Network connectivity issue

**Solutions**:
1. Check your remaining quota at the bottom of AI panel
2. Wait for quota reset (midnight UTC)
3. Upgrade to Pro for higher quota (200 msg/day)
4. Refresh the page
5. Check [status.qubittask.com](https://status.qubittask.com)

#### Can't add more users/projects

**Free plan limits**:
- 5 users (non-client)
- 7 projects

**If you're already on Pro**:
1. Go to **Settings > Billing** → **Sync Subscription Status**
2. Refresh the page
3. Verify payment method is valid
4. Contact support if still blocked

#### Search isn't finding my task

**Solutions**:
1. Check spelling and try different keywords
2. Try searching by assignee name or project name
3. Use filters in Board/List view instead
4. Verify the task hasn't been deleted
5. Try Qubit AI: _"Find tasks about [keyword]"_

#### How do I switch to a different workspace?

Click your workspace name in the top-left corner and select from the dropdown.

**Workaround**: Copy task data manually or contact support for a CSV export

#### How do I archive completed tasks?

Tasks with status "Done" can be archived:
1. Go to Project Settings
2. Click **Archive Completed Tasks**
3. Tasks are hidden from main views but remain in the database
4. View archived tasks: **Project Settings > Archived Tasks**

#### Can I customize task statuses?

**Currently**: Fixed statuses (Backlog, To Do, In Progress, In Review, Done, Cancelled)  
**Coming Soon**: Custom statuses (on roadmap for Pro users)

#### What happens if I delete a project?

- All tasks in the project are deleted
- Comments and attachments are deleted
- Activity logs are deleted
- **This cannot be undone**
- Consider archiving instead: **Project Settings > Archive Project**

#### Can I move a task to a different project?

**Yes**:
1. Open the task
2. Click **Edit Task**
3. Change the **Project** dropdown
4. Click **Save**
