Why We Cap Our Margins at 20% - And Built a Project Management Tool You'll Actually Want to Use

Most SaaS companies price their products based on what the market will tolerate. Gross margins of 70%, 80%, sometimes higher - that's the industry standard, and nobody blinks. We blinked.

When we started building QubitTasks, we asked ourselves a question that apparently not enough founders ask: what if we just… didn't do that?

The Problem With How PM Tools Are Priced

Here's something that doesn't get talked about enough. The project management space is crowded with tools that charge $10, $15, $20+ per user per month. For a team of 30, you're looking at hundreds of dollars a month - sometimes thousands — for what is, at its core, a way to organize tasks and keep people on the same page.

Those prices aren't driven by costs. They're driven by convention. And once you're locked in, switching costs keep you paying.

We think there's a better way.

Our Promise: 20% Gross Margin, Maximum

QubitTasks operates on a simple principle: we'll never take more than 20% gross margin on our product. That means our price is tied directly to what it actually costs us to serve you — not to what a pricing consultant says you'd be willing to pay.

What does that look like in practice?

  • If our infrastructure costs go down, your price goes down.

  • If we find more efficient ways to run things, you benefit directly.

  • We'll always be transparent about why our pricing is what it is.

Right now, that means two straightforward plans:

Free - for teams of up to 5. Not a trial. Not a limited version with half the features grayed out. You get everything. Unlimited projects, unlimited tasks, board/list/calendar views, our Qubit AI assistant, file attachments, role-based access control — the full platform with no time limit and no credit card required.

$5/user/month - for teams with 6+ members. Everything in Free, plus unlimited team members and priority support. That's it. No "Enterprise tier" with features held hostage behind a sales call.

What We Actually Built

We're not going to pretend we reinvented project management. Tasks, boards, lists, due dates - you've seen these before. What we focused on was making these things work the way they should, without the bloat.

The essentials, done well. Board, list, and calendar views so you can work however suits you. Labels, priorities, due dates, subtasks, file attachments - all the stuff you'd expect, all polished and fast.

Built for collaboration from day one. Real-time notifications, @mentions, activity logs, and task history so nothing falls through the cracks and nobody has to ask "where did we land on that?"

Qubit AI baked in, not bolted on. Our AI assistant and insights aren't a premium upsell. They're part of the product for every user, free or paid. We built Qubit AI to help you surface what matters - summarize long threads, flag blockers, and give you a clear picture of where your projects actually stand.

Role-based access that doesn't require a manual. Set who can see and do what, without needing a certification in permission management.

Why Free Means Free

There's a cynical playbook in SaaS: offer a "free tier" that's so limited it's basically a demo, then gate everything useful behind a paywall. We didn't want to do that.

If you're a team of 5 or fewer, QubitTasks is genuinely free. Full features, forever. We can afford to do this because our paid tier is designed to scale sustainably at low margins, not to subsidize a loss-leader free plan.

Small teams and early-stage startups shouldn't have to choose between using sticky notes and paying enterprise software prices. That shouldn't be a radical idea, but here we are.

What's Coming Next

We're just getting started. Our roadmap is focused on the things that will make QubitTasks indispensable for growing teams - more integrations, deeper AI capabilities, and workflows that adapt to how your team actually operates, not how a PM methodology says you should.

We'll be sharing more about our roadmap, our thinking on pricing and transparency, and the technical decisions behind QubitTasks on this blog. If any of that sounds interesting, stick around.
